How we collect, use, protect, and handle information for bookkeeping, accounting support, document intake, and authorized QuickBooks-connected workflows.
Information we collect
We may collect business contact details, intake form responses, service preferences, bookkeeping needs, uploaded documents, accounting records, transaction files, bank statement files, receipts, invoices, bills, payroll summaries, AP/AR support files, and communication needed to provide bookkeeping and accounting support services.
QuickBooks and accounting data
When a client authorizes a QuickBooks Online connection, we may access QuickBooks company and accounting data needed to support bookkeeping workflows. This may include company information, chart of accounts, customers, vendors, transactions, invoices, bills, payments, attachments, reports, receipts, and related bookkeeping records. Access is used only for authorized bookkeeping, reconciliation, exception review, monthly close readiness, reporting, and service delivery.
How we use information
Information is used to review service requests, onboard clients, organize documents, route missing items, review transactions, support reconciliations, prepare bookkeeping summaries, coordinate monthly close workflows, support financial summary preparation, and communicate next steps.
Workflow automation and AI-assisted processing
FirstLedger Accounting may use workflow automation, secure document routing, and AI-assisted processing to classify, summarize, reconcile, route, and review bookkeeping information. Human review may be required before final accounting decisions, client report delivery, or QuickBooks updates. AI-assisted outputs are not a substitute for client review, CPA review, or licensed professional advice.
Data sharing
We do not sell client information. Information may be shared with service providers, technology platforms, or licensed professionals only as needed for authorized service delivery, compliance, troubleshooting, or client-approved coordination.
Data retention and deletion
We retain records as needed to provide services, maintain audit trails, support bookkeeping review, meet legal or business obligations, and resolve disputes. Clients may request deletion or disconnection of data where legally and operationally permitted by contacting us or using our data deletion request page.
Security
We use reasonable administrative and technical safeguards. Clients should not submit passwords or unnecessary sensitive documents. QuickBooks access should be authorized through secure OAuth connection, not by sharing login credentials.
